Examination Committee

According to article 1 of the Regulation on Examinations at Higher Education Institutions, an exam is a method by which students' knowledge or practical skills are assessed during and after an educational course. Subject to the provisions of article 5 of the regulation, examination committee of a university is responsible: to ensure orderly examinations; to cooperate in conduct of timely exams; to assess students’ attendance sheets and identify those eligible and ineligible for exams; to review and assess exam papers in order to ensure they are relevant to the course and teaching materials; to receive and addresses complaints regarding examinations; to report on exams to the academic council and senior management; and lastly to assess the exam day and report about any shortcomings to the management. Ghalib University has established one main examinations committee that functions at the University level and several other sub-committees at the faculty level.

University Level Examination Committee:

Members of this committee are 10 to 15 who are selected by the academic council of the University from among the lecturers of different faculties.

Vice chancellor for students’ affairs or one of the active members is appointed as chairperson of the committee upon approval of the Chancellor. Members of the committee include the following:

  1. Students’ Affairs vice chancellor as the chairperson;
  2. Deans of the faculties as members;
  3. Heads of the departments as members;
  4. One lecturer from each department with a Ph.D. degree or Pohanmal academic ranking or with a Master’s degree with Pohanyar academic ranking appointed as members through a fair and secrete election;
  5. One active member of the committee is recommended by all members as chairperson of the committee and approved by the academic council of the University;

Membership duration and how meetings of the examination committee are convened:

  1. Members of the examination committee of the faculty are selected for a period of one year;
  2. Meetings of the committee are convened in the presence of half of the members plus one;
  3. Decisions in the committee are made based on the relative majority votes;
  4. Meetings of the committee are held twice per semester. Extraordinary meetings of the committee are possible as required and called for by the chancellor;
  5. Decisions of the committee based on the relative majority votes once recommended by the chairperson, and approved by the academic council of the University are enforced;

Roles and responsibilities of the examination committee:

  1. To oversee and monitor examinations at the University level;
  2. To assist exams are held on time;
  3. To oversee examinations and provide reports to the academic council of the University;
  4. To ensure examinations are held and provide reports to the academic council of the University;
  5. To preform other tasks and duties assigned to the committee based on the bylaw and the procedures;

Faculty level examination committees:

The examinations committee at the faculty level include 3 to 5 members who are lectures and members of cadre. Members include the following:

  1. Dean of the faculty as chairperson;
  2. Heads of departments as members;
  3. Students’ affairs manager as secretary;

Membership duration and how meetings are conducted:

  • Members of the examination committee of the faculty are selected for a period of one year;
  • Meetings of the committee are convened in the presence of half of the members plus one;
  • Decisions in the committee are made based on the relative majority votes;
  • Meetings of the committee are held once per month. Extraordinary meetings of the committee are possible as required and called for by dean of the faculty;
  • Decisions made by the committee through relative majority votes are approved by dean of the faculty and once endorsed by chairperson of the University’s examinations committee are subject to be enforced;

Roles and Responsibilities of the faculty level examinations committee:

  1. The faculty examination committee is responsible to review and approve the students’ attendance sheets to identify absent students a week before the exams begin. After approval of the list by the dean of the faculty, the committee shares the list with the office of vice chancellor for students’ affairs.
  2. To execute, evaluate and assess issues asked by the senior management;
  3. To ensure questions for each course are designed in accordance to examination regulation and policy;
  4. To address and resolve any problems related to the examination process and contents;
  5. To report about the examinations to faculty academic council and to the University examination committee;
  6. To assist departments that don’t have sufficient staff members during the examinations;
  7. To preform other tasks assigned in accordance to the bylaw and regulations by the council;
